job responsibilties
Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
– Screen and prioritize emails, calls, and correspondence, responding on behalf of the executive when appropriate.
– Prepare and organize materials for meetings, including agendas, presentations, and reports.
– Draft, edit, and proofread communications such as memos, emails, and presentations.
– Plan and coordinate internal and external meetings, ensuring all logistics are managed effectively.
– Take detailed meeting notes and distribute minutes to relevant stakeholders.
– Act as a liaison between the executive and other departments, clients, or external partners.
– Arrange complex travel itineraries, including flights, accommodations, and transportation.
– Assist with special projects, ensuring deadlines and deliverables are met.
– Research and compile data for executive decision-making.
– Support the implementation of strategic initiatives by tracking progress and coordinating follow-ups.
– Handle sensitive and confidential information with the utmost integrity.
– Manage executive files, records, and documentation securely.
requirements
Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
– 5+ years of experience as an Executive Assistant, preferably supporting C-suite executives.
– Proficiency in Microsoft Office Suite and other productivity tools
– Familiarity with project management software (e.g., Trello, Asana) and CRM systems (e.g., Salesforce) is a plus.
– Exceptional organizational and multitasking abilities.
– Strong written and verbal communication skills.
– Excellent interpersonal skills with the ability to build relationships at all levels.
– Proactive problem-solving and decision-making abilities.
– High degree of professionalism and discretion.
